Terms & Conditions (T&C) applicable to all SafeHotels CovidCleanTM service offerings

  • Safehotels Alliance AB, a company registered in Sweden as company number 556608 33 99, having its principal office at Stora Avagen 21 SE-436 34 Askim Gothenburg, Sweden.
  • The services included in this T&C are based on WHO World Health Organisation Guidelines, CDC Centers for Disease Control and Prevention and Safehotels knowledge, experience, expertise and insight of certifying hotel operations worldwide. Safehotels recognize variations in government and health authority COVID requirements around the world, this is noted where applicable in the Safehotels CovidClean service for hotels worldwide.
  • Within these T&C Safehotels Alliance AB is designated as ‘Safehotels’. The Hotel or Hotel Group purchasing these services is designated as the ‘Hotel’
  • The word ‘services’ and ‘service’ includes the services detailed below as ‘Selfcheck’, ‘e-Check Award’ and ‘On-Site Audit and Certification

    Selfcheck

  • Receive a Copy of the full Safehotels CovidCleanTM Standards Manual.
  • Complete On-line Self Check assessment via Safehotels website portal.
  • Upload key documents to verify your CovidCleanTM procedures.
  • Hotel sent a self-declaration form which can be used in-hotel and hotel e-marketing.
  • SelfCheck process completed within 24hrs from completing the assessment.

    e-Check Award

  • Receive a Copy of the full Safehotels CovidCleanTM Standards Manual.
  • Complete On-line Self Check assessment via Safehotels website portal.
  • Upload key documents to verify your CovidCleanTM procedures.
  • A Safehotels accredited auditor will contact you for an e-check date.
  • e-check audit conducted live online with Safehotels e-auditor.
  • Video conference Q&A Session – ‘Show and tell’ documents, manuals, procedures during video Q&A.
  • ‘Show and Walk’ – live feed mobile video from hotel to e-auditor showing key areas of hotel and procedures in action.
  • Hotel awarded with Safehotels E-Check CovidCleanTM logo to display on hotel website, in-hotel and hotel e-marketing.
  • Appear of on Safehotels Website as CovidCleanTM e-Checked
  • E-check process and award completed within 3 days from e-check audit date

    On-site Audit and Certification

  • Receive a Copy of the full Safehotels CovidCleanTM Standards Manual.
  • Complete On-line Self Check assessment via Safehotels website portal.
  • Upload key documents to verify your CovidCleanTM procedures.
  • A Safehotels accredited auditor will contact you for an onsite audit date.
  • All requirements of the CovidCleanTM Standards Manual verified on-site
  • Audit report quality assured, checked and verified by Safehotels Quality Control
  • Safehotels CovidCleanTM Certification awarded to the hotel.
  • Certificate and logo free to use and display by hotel.
  • Certificate can be sent and displayed by hotel to corporate accounts, travel managers and other accounts requiring extra diligence.
  • Appear of on Safehotels Website as CovidCleanTM Certified

    General Conditions

  • Please read these user terms and conditions. By using Safehotels service the hotel agrees to these terms and conditions. This also includes making online payment for the service.
  • The service is provided for individual hotels. The service must not be copied in any electronic, digital, cyber or hard copy format and/or used for other premises, locations, buildings, sites businesses or organisations.
  • Where there are multiple hotels in the same hotel chain or hotel company, a separate and individual service must be completed for each site. Price discounts may apply to services provided to multiple hotels of the same hotel chain or hotel group.
  • The intellectual property, rights, logo, brand name, certificates, content and business concept of the service belongs to Safehotels only and the hotel has no rights to the aforementioned.
  • The CovidClean trademark and logo is and shall remain the property of Safehotels and can only be used with permission and agreement with Safehotels.
  • The hotel, when completing the online information stage of the service and required upload of documents or pictures as part of the service, will to the best of the hotels knowledge, integrity, and understanding, provide accurate and up to date information.
  • For online payment services, the hotel is directed to a recognised third-party online payment service. The choice and decision to use this service is fully with the hotel. By using the third-party online payment service the hotel agrees, in the unlikely event, to indemnify Safehotels from and against any liability for losses, damages, expenses and claims, including consequential losses arising from use of the third-party online payment service.

    Limitation of Liability

  • All services to be provided by Safehotels under this T&C will be performed in a professional and workmanlike manner, consistent with generally accepted hotel industry standards. It is understood by the hotel and Safehotels that the award of and use of the services by the hotel is not a guarantee, implied or otherwise, that loss, death or injury will never occur.
  • The service is provided as a commitment by the hotel to provide the service to their own hotel guests, visitors, employees, contractors and any other third party visiting or staying at the hotel. It is not a guarantee by the hotel any person will not be subject to Covid -19 transmission while staying at or visiting the hotel for any reason or purpose. The hotel also agrees where reasonable, to indemnify, defend and hold Safehotels harmless against any claim, demand, liability, cost, damage, settlement payment, judgement or expense, including reasonable attorney’s fees, on account of any loss, injury or damage sustained by any person or persons unless to the extent the same is caused by the gross negligence or intentional misconduct of Safehotels, its employees, agents or contractors.
  • In no event shall Safehotels, their employees, agents, officers or contractors be liable (unless shown by direct and proven gross negligence or intentional and unreasonable misconduct) for any, consequential or other damages (including but not limited to loss of profit) arising out of any performance of this service or in furtherance of the provisions or objectives of this service.

    Amendments – Contact – Jurisdiction

  • These Terms and Conditions may be amended from time to time. If Safehotels does amend them, the new terms and conditions will be available on the Safehotels website and the hotel informed. Any communication in relation to these T&C should be sent to covidclean@safehotels.com unless otherwise provided in these user terms and conditions.
  • The jurisdiction of these T&C is governed by the laws of Sweden.

    GDPR, Data Protection, Privacy, Security and Anti-Spam Policy

  • Safehotels takes the security of hotel information extremely seriously. Safehotels has active anti-Spam measures to prevent hotels from receiving unsolicited commercial email, however we do not guarantee hotels will never receive SPAM. The hotel agrees to indemnify Safehotels and any employee or officer from and against any liability for losses, damages, expenses and claims, including consequential losses arising from SPAM relating to services and unauthorised use of the logos, brands and any name related to CovidCleanTM and Safehotels
  • Any documents, plans, checklists, or pictures obtained by Safehotels are stored on secured platforms. There is no third party access to this data.

  • Safehotels complies with European data protection and GDPR legislation in its treatment of all personal data provided by hotels. All data and information relating to a hotel is deleted when a member contacts covidclean@safehotels.com requesting a termination of the service.
  • Safehotels shall not be responsible for any loss, destruction, alteration or disclosure of a hotel’s data caused by any third party including third party online payment services and any third-party data companies used in relation to the services, unless gross negligence is proven as stated in the ‘Limited Liability’ section of this T&C.
